Introduction
A hybrid appointment combines in-person and remote attendees. Some people attend the appointment physically in a conference room, while others join virtually through video conferencing tools like Microsoft Teams or Pexip.
Requirements
- The hybrid appointment functionality must be activated within your environment.
- A video conferencing provider needs to be configured within your environment.
Settings
Settings for hybrid appointments can be managed from the administrator view
- Go to Settings
- Navigate to General
- Settings can be found under Scheduling
Enterprise level
The advanced enterprise setting hybridAppointmentsEnabled should be set to true to allow hybrid appointments.
Meeting type level
On the meeting type level, you define if new appointments should be hybrid by default. This setting can be overridden by employees when scheduling their appointments, but it will always apply to customer appointments.
Backoffice
When creating an appointment (or an appointment invite) from the backoffice, employees can specify whether they prefer a hybrid appointment. The toggle is visible when clicking “Show more”.
Since this view is targeted towards agents who might not know what hybrid meetings are, we use more explicit copy: “Include video link for this appointment.
Currently, the option is only available when creating an appointment or appointment invite
After setting an appointment as hybrid, there’s no option to switch it back to in-person only
Plugin
As mentioned previously, when a customer books an appointment from the plugin, there is no way of indicating whether this appointment is hybrid or not. This will follow the default settings defined per meeting type.
Emails
The confirmation email includes a link to the video conference, allowing the customer to join the hybrid appointment.
